HCM: Legal Name & Preferred Name Change

Overview:

This document explains how employees can change their Legal or Preferred Name in Workday.

  • The recommended browser for accessing Workday is Google Chrome. However, Mozilla Firefox and Apple Safari may also be used.

Update Legal Name

1.Select Menu in the left corner of the Workday.

2.  Select the Personal Information application.



3.  The Personal Information page displays.

4.  Select Legal Name under the Change column.

5.  Fill in fields with new or updated legal name information.

6.  Attach supporting documentation by dropping in files or choosing Select files.

a.  Select the Category Prompt and choose Personal Information.

b.  Select Upload to attach additional documentation.

  • Fields with a red asterisk are required.
  • Supporting documentation is required for Legal Name changes.
  • Marriage certificate, new social security card or new driver's license are acceptable forms of supporting documentation.


7.  Select Submit when changes are complete.

  • Select Save for Later if additional changes will be made at a later time prior to selecting submit. Tasks saved for later can be found in My Tasks.
  • Legal Name change will go through an approval process with Human Resources. You will receive a notification when the review is completed or if changes are needed.

Update Preferred Name

Notes:

  • Employees cannot change their preferred last name in Workday.
  • Changing your preferred last name in Workday can cause issues with other software applications.

 1.Select Menu in the left corner of the Workday Home page.

2.  Select the Personal Information application.

3.  The Personal Information page displays.

4.  Select Preferred Name under the Change column.

  • Select More to view Preferred Name.

5.  The Change My Preferred Name page displays.

6.  To edit your Preferred Name, uncheck the Use Legal Name as Preferred Name box and update fields with new or updated preferred name information.

  • The option to Use Legal Name As Preferred Name is checked as the default option.
  • Fields are not editable until the check box is unchecked.
  • Last Name should not be changed.
  • Fields with a red asterisk are required.

7.  Select Submit when changes are complete.

    • Select Save for Later if additional changes will be made at a later time prior to selecting submit. Tasks saved for later can be found in your My Tasks.
